When to use this template

This template fits freelancers, agencies and small businesses sending invoices in low-to-moderate volume. If you are billing a handful of clients per month, this gets you to a sent PDF faster than spreadsheet templates or full accounting software.

  • Freelance and contractor billing where every invoice needs a personal touch
  • Agency client billing with multiple line items and clear tax breakdowns
  • One-off project invoices that don’t justify Xero or QuickBooks
  • Small business invoicing before you’ve picked a full accounting stack

Common questions

Can I add VAT, GST or sales tax to invoices?

Yes. The template has a single tax row with an editable rate (default 25%). For multiple tax lines or compound tax, add additional rows in the totals block — each line is just editable HTML.

Does this support multi-currency invoicing?

You change the currency symbol manually in the line items and totals. There’s no automated currency conversion in the template itself — Quaterio handles layout, not exchange rates.

How do I keep invoice numbers sequential?

You can do it manually as you create each invoice. For volume, the API supports variable substitution — pass `invoice_number` as a variable and your billing system increments it.

Is this template compliant with EU e-invoicing rules (Peppol, EN 16931)?

Visually yes — the template includes the required fields (issue date, invoice number, supplier and customer details, line items, tax breakdown). For formal Peppol submission you’ll need to wrap the data in the XML envelope separately. The PDF is human-readable; the structured submission is your billing system’s job.

Can I add my logo and brand colors?

Yes. Upload your logo in the header and configure brand colors in your organization’s brand kit — they’ll apply to all future invoices automatically.

Will the PDF look the same when I print it?

Yes. The template uses A4 by default with print-safe margins. For commercial printing, the Business plan adds CMYK color conversion, outlined fonts and trim marks.

How do I send invoices automatically from my app?

Use the REST API on the Business plan. Pass invoice data as variables to the template endpoint and you get back a PDF URL — no editor interaction needed.

Does the free plan watermark exported invoices?

Yes, the free plan adds a small Quaterio watermark to exported PDFs. Pro and Business plans remove it.
